Business owner Darrell Willis on vacation still receiving team questions, approvals, and customer issues, showing an Owner Bottleneck.

What Happens to Your Business When You Go on Vacation?

September 14, 20263 min read

You finally get away.

Then your phone starts buzzing.

“Can I approve this?”

“What should I tell the customer?”

“Do you want us to move forward?”

“What would you do?”

You answer one.

Then another.

Each one only takes a minute.

But before long, you’re running the business from your phone.

The problem isn’t the text.

It’s what the text is telling you.

Your business may still depend too much on you.

Your Team May Not Be the Problem

It’s easy to think:

Why can’t they just handle this?

But your team may be doing exactly what they’ve learned to do.

When they aren’t sure, they ask you.

When a customer gets upset, they ask you.

When something feels risky, they ask you.

When the normal plan doesn’t work, they ask you.

And each time you give them the answer, they learn the same thing:

Ask the owner.

Soon, you become the safest place for every hard call to land.

That’s a version of the Owner Bottleneck.

The business keeps moving because you keep moving it.

Vacation Makes It Easier to See

This can be hard to notice when you’re at work.

Someone walks into your office.

You answer a quick question.

You approve something from your phone.

A customer calls you.

You fix a problem before lunch.

None of it feels huge.

But it adds up.

And when you leave, you finally get to see how much of the business still comes back to you.

Try the 7-Day Test

Picture this.

You leave tomorrow for seven days.

Your team can’t call you.

They can’t text you.

They can’t email you.

They can’t ask:

“What would you do?”

Now ask yourself:

What gets stuck?

What gets pushed back?

Which customers ask for you?

Which decisions sit and wait?

Which problems don’t get solved?

Where does the team stop because they aren’t sure what they can do?

Don’t fix anything yet.

Just make the list.

Now Look at the List

Go through each thing you wrote down.

Ask:

  • Did they know what to do?

  • Did they have the right to decide?

  • Was there a clear rule?

  • Was the answer only in my head?

  • Did they need me because I always step in?

That list can tell you a lot about your business.

You may not need more people.

You may not even need more systems.

You may need to move more of the answers, rules, and decisions out of your head and into the business.

Your Business Should Need You

The goal isn’t to make yourself useless.

Your business should need you.

Just not for everything.

There’s a big difference between:

The business is better because you’re there.

and

The business stops because you’re not.

You should be able to leave for a few days without becoming the help desk.

Your team should know what they can decide.

They should know what good looks like.

And they should know when they truly need you.

That doesn’t happen all at once.

But seeing where the business depends on you is a good place to start.
